Play 1: Building Your Evidence Locker
Learn how to establish a single source of truth for all 'Evidence of Suitability' documents, such as fire test certificates and product technical statements, as required by NCC Clause A5.2.
The Objective
The first play in mastering the handover is to stop the chaos. Your objective is to move all critical compliance documents out of uncontrolled network folders and emails and into a centralized, auditable system. This creates your Evidence Locker—the single source of truth for all proof. This directly addresses the core requirement of managing "Evidence of Suitability" under NCC Clause A5.2.
Key Step 1: File Controlled Documents
A "Controlled Document" in Demiton is any formal, versioned document that acts as proof. This includes your most critical NCC evidence.
The Play:
- Navigate to the Evidence Locker.
- Use the "File New Document" wizard to upload your documents (e.g., fire test reports, acoustic certificates, Product Technical Statements).
- Assign each document a unique, human-readable Document ID (e.g.,
CERT-FIRE-1080
) and a category. - Demiton automatically assigns it
Version 1.0
and aPending
status, creating an unbreakable version history from day one.
Key Step 2: Digitize Site Inspections with Forms
Not all evidence is a PDF. Sometimes, the proof is a record of an action taken on-site, like a pre-pour inspection of reinforcing steel.
The Play:
- Navigate to the Evidence Locker -> Forms.
- Use the Form Builder to create a digital checklist for your recurring site inspections (e.g., "Waterproofing Integrity Check").
- This template can now be assigned to your site teams. Each completed checklist becomes a timestamped, unchangeable Field Report—perfect evidence that a required inspection was performed correctly.
