Platform Deep Dive: The Evidence Locker
A detailed guide to the three core components of the Evidence Locker: Documents for controlled documents, Forms for creating digital forms, and ITPs for building complex, automated workflows.
The Heart of Your Proof
The Evidence Locker is the foundational module for managing all forms of evidence and evidence-gathering templates. Mastering its three components—Documents, Forms, and ITPs—is the key to building an unbreakable compliance system.
1. Documents: Your Controlled Document Vault
An Document is any formal, version-controlled document that serves as a piece of proof. Think of it as evidence that is formally submitted to the court.
- Use Cases: Test Certificates, Product Technical Statements, Engineering Drawings, ISO Certifications, Signed Contracts.
- Key Features:
- Strict Version Control: Uploading a new file creates a new version, automatically superseding the old one while maintaining a full history.
- Status Lifecycle: Documents move through a formal lifecycle (
Pending
->Verified
->Superseded
), with an optional approval workflow. - Expiry Tracking: Assign expiry dates to certificates to receive proactive alerts before they become invalid.
2. Forms: Your Digital Form & Checklist Builder
A Form is a reusable template for a digital form, checklist, or inspection. It's the tool you use to give clear instructions to your Field Users on what evidence to collect.
- Use Cases: Daily Site Safety Walkthroughs, Pre-Start Equipment Checks, Concrete Pour Inspections, Internal Audits.
- Key Features:
- Intuitive Builder: Drag and drop different question types (text, number, date, checkbox, select) to build your form.
- Live Preview: See exactly what your user will see in the field as you build the form.
- Publishing: Once a Form is "Published," it can be assigned to users. Each completed form becomes an immutable, timestamped Field Report.
3. ITPs (Inspection & Test Plans): Your Automated Workflow Engine
An ITP is the most advanced tool in the Locker. It allows you to build automated, event-driven workflows. It's a visual flowchart that tells Demiton: "When X happens, automatically do Y."
- Use Cases: "Three days before the 'Slab Pour' milestone is due, automatically assign the 'Pre-Pour Concrete Checklist' to the Site Foreman," or "When an 'Incident Report' is submitted, automatically notify the Safety Manager and create a verification hold point."
- Key Features:
- Visual Builder: Connect nodes on a canvas to design your workflow.
- Triggers: Start a workflow based on a date, a milestone, or another event.
- Actions: Automatically request evidence, assign tasks, or place holds.
- Utilities: Notify stakeholders via email or in-app notifications.
